Why did my draft form disappear from the Corfix app?

This article will summarize why a draft form can seem to disappear from your Corfix app, and how to find it again.

Short answer: your form most likely did not disappear. When someone else edits and saves a draft form after you, that person becomes the form's owner, and the form moves to their Corfix app. You can still find it on the Forms page by filtering for the project or template.

 Overview: who owns a draft form?

A draft form belongs to the last person who saved it. Ownership is shown in the Sent By field on the form.

Think of a draft like a clipboard passed around a job site. Whoever last wrote on it and set it down is the one holding it. If a teammate opens your draft, adds details and saves it as a draft, the Sent By field changes to their name, and the form now lives in their app instead of yours.

Important: this only happens while the form is still a draft.

This is also why you may see a teammate listed as the creator or owner of a form you started, even if you are the one who needs to sign it.

How it works: an example

  1. You start a site inspection and tap Save as Draft. You are the owner, and the form shows in your Corfix app.
  2. A teammate opens the same draft, adds their details, and taps Save as Draft.
  3. Ownership moves to your teammate. The Sent By field now shows their name.
  4. The draft leaves your app and now appears in your teammate's Corfix app instead.
  5. The form is not lost. It is still saved in Corfix and can be found on the Forms page (see below).

If you go to continue your draft and it is missing, the most likely reason is that someone else saved it after you.

How do I find my missing draft form?

  1. Log in to Corfix and go to the Forms page.
  2. Filter by the project the form was started on, or filter by the template (for example, Site Inspection).
  3. Look for your form in the results. Check the Sent By field to see who currently owns it.
  4. If a teammate now owns the draft, ask them to finish and submit it, or to let you know when they are done with it.

Tip: if the form needs your signature, it will still come to you for signing, even if a teammate is listed as the owner.

Tips for working on drafts as a team

  • Agree on who finishes the form. If several people add to one inspection, decide up front who will submit it.
  • Check Sent By first. Before assuming a form is lost, check who last saved it.
  • Use the Forms page, not just the app. The Forms page shows every form on a project, no matter who owns it.
  • Submit when done. Finishing and submitting a draft promptly avoids confusion about where it went.
