[Forms](https://knowledge.corfix.com/articles/corfix-admins?hsLang=en#forms) August 12, 2026 # Why does the formatting change (or editing get blocked) when I edit a downloaded form PDF? ## This article will summarize why edits you make to a form after downloading it as a PDF can shift the layout, remove content, or refuse to save — and the recommended way to make changes so your forms stay clean and accurate. **Please read first** **Completed Corfix forms are finished, signed records.** Once a form has been signed and downloaded, Corfix treats the PDF as a locked, binding document — much like a contract that has already been initialed. Because of this, editing that downloaded PDF in an outside PDF program can cause the layout to shift, cause fields or text to disappear, or stop you from typing at all. **The fix is simple: make your changes inside Corfix *before* you download, not in a PDF editor afterward. That file is meant to be saved, printed, or shared as-is — it is the official copy of what was submitted. Trouble starts when that finished PDF is opened in a separate PDF-editing program and someone tries to change it. Because the form is treated as a signed, locked record, the outside program often fights those edits: spacing and formatting can jump around, items can be pushed out of place or removed, "Fill & Sign" can wipe existing text, and sometimes you have to delete text one character at a time — or you cannot edit the file at all. None of this is a problem with your download. It is the expected behavior of a signed document. The good news is that Corfix has a built-in way to make changes properly, and it keeps a full history of what changed. **How to make changes the right way** Instead of editing the downloaded PDF, edit the form inside Corfix and then download a fresh copy. 1. In the **Admin (Web) dashboard**, go to **Forms** and open the form you need to change. 2. Choose **Edit Submission**. 3. Make your changes directly in the form. Corfix automatically keeps a **version history**, so you always have a record of what was updated and when. 4. If the changes need to be re-approved, Corfix can **re-prompt the required signatures** so everyone signs off on the new version. 5. When you are done, download the form again. Your fresh PDF will reflect the corrected information — cleanly and correctly. **To download a single completed form:** open the form and use the **Download** option. **To download several at once:** go to **Forms → All Forms → Choose Action → Download**. Bulk downloads arrive as a **ZIP file** and are limited to **100 forms at a time**. > **Tip:** When you save a downloaded form, save it directly as the PDF Corfix provides. Re-saving through "Print to PDF" and then editing in another program is where most formatting and locking issues appear. Use cases and benefits - **Fixing a mistake after submission** — A worker entered the wrong date or a typo. Use **Edit Submission** to correct it inside Corfix, then re-download, instead of trying to patch the PDF by hand. - **Keeping an audit-ready record** — Because every change is tracked in version history, you can always show what the form said before and after a correction — useful for safety and compliance records. - **Re-collecting sign-off** — If a correction is significant, re-prompting signatures ensures everyone has approved the current version, not an outdated one. - **Sharing a reliable copy** — A form edited inside Corfix and freshly downloaded will open and print correctly for whoever you send it to, with no shifted or missing content. -
