How do I generate and submit year-end tax forms (T4, T4A, and RL-1) for my employees?
This article will summarize the steps required to create, review, and send your annual tax packages to the government and your team.
⚠️ Important Requirements & Warnings
-
Irreversible Steps: Once a tax package is created, it cannot be "reset" to a blank state. You must delete the entire package and start over if you need to make major changes before submission.
-
Submission Deadlines: To ensure the government receives your forms by the Feb 24th 2026 deadline, you must submit your packages through the system no later than Feb 24 2026.
-
Manual Tasks: For Quebec employees, while we help generate the RL-1 slips, you are responsible for manually filing the RL-1 Summary with Revenu Québec.
-
Locked Information: You cannot manually change a worker’s classification (e.g., changing a contractor to an employee) or create forms for amounts not recorded in your payroll history within the app. If you need these specific changes, please contact our support team for assistance.
Overview & Explanation
At the end of every calendar year, business owners must provide tax slips (like T4s) to their employees and the government. Our system simplifies this by gathering all your payroll data from the past year and organizing it into the official formats required by the CRA and Revenu Québec. This process ensures your team can file their personal taxes accurately and your business stays compliant with Canadian tax laws.
How It Works (Step-by-Step)
1. Start Your Tax Package
Navigate to Year End Tax Packages. Choose the tax year you are filing for. The system will automatically show you which packages you need based on your employees' locations (for example, the RL-1 package will only appear if you have staff in Quebec).
2. Generate the Forms
Locate the specific package (e.g., T4) and click Create.
-
Confirm Contact Info: Review the contact details provided. This is who the government will contact if there are questions about your submission.
-
Review the Preview: Before finalizing, go to the Reports section and download the Preview Report. This allows you to check for errors before the forms are officially generated. (Note: Previews are currently available for T4 and RL-1 only).
3. Review and Edit Slips
Once generated, click into the package to see individual employee slips.
-
Search & Filter: Find specific employees quickly using the search bar.
-
Bulk Actions: You can select multiple employees at once to Approve their slips or update specific tax boxes (like Box 45 or 50).
-
Check Worker Status: If an employee is marked as "Blocked" in the Workers page of Corfix, they will not receive their tax slip via email. You must send their form manually.
4. Submit to the Government
When you are confident the information is correct, click Submit.
-
Processing Time: Packages are sent to the government the following business day.
-
CRA Blackout Period: Note that T4/T4A packages will not be physically transmitted to the CRA until January 12 due to their annual maintenance.
-
Download Copies: After submission, you can download PDF copies of all slips for your internal records.
Use Cases and Benefits
-
Automatic Data Gathering: Saves hours of manual entry by pulling a full year of payroll data into one place.
-
Quebec Compliance: Automatically identifies which employees need RL-1 slips versus standard T4s based on their work location.
-
Error Detection: If the CRA finds an issue with your file, the system provides a "kickback" notification so you can fix the error and resubmit.
Behavior Changes: What's New?
Previously, you might have handled tax forms manually or through a separate government portal.
-
The Old Way: Manually calculating totals and typing them into government websites or paper forms.
-
The New Way: All totals are calculated based on your recorded payroll. If a T4 doesn't match your records, the system prevents the entry to protect you from audit discrepancies, requiring a verified support update instead.
