How do I get my workers to sign off on company policies?

This article will summarize the most effective ways to share, track, and collect worker signatures for company policies and procedures within Corfix.

Overview & Explanation

Getting your team to sign off on safety policies, employee handbooks, or site-specific procedures is a critical part of compliance. In Corfix, you have the flexibility to mix and match your document types with different QR code styles to ensure every worker—whether an internal employee or an external contractor—can sign off quickly and easily.

How It Works (Step-by-Step)

Option 1: Using "Resources" for PDF Sign-offs (Best for Internal Tracking)

Use this if you have a pre-existing PDF policy and want to see a "master list" of who has and hasn't signed in one single view.

  1. Upload the Policy: Upload your PDF to the Binders section.

  2. Assign Signers: Open the document and add all relevant workers as signers.

  3. The "Signers" Box: On the Form Details page, check the box to see a real-time list of signature statuses.

Important Note on Policy Updates: In Corfix, you cannot "swap" a PDF file within an existing Resource. If a policy changes, you must upload the new PDF as a new Resource and generate a new QR code for that updated version

Option 2: Using the Template Builder (Best for Individual Records & Guests)

Use this if you want each person to submit their own unique form or if you need to collect signatures from people who don't have a Corfix account.

  1. Create a Template: Go to the Template Builder.

  2. Add Policy Text: Copy and paste your policy text into a Disclaimer component.

  3. Pair with an Internal QR Code: Create a QR code for this specific Resource. When a worker scans it, it will take them directly to the document inside their Corfix app.

Warning: Use the Disclaimer component for the policy text. Do not use the "Document" component, as that is for the worker to upload a file to you.

Use Cases and Benefits

  • New Hire Onboarding: Quickly add a new hire to an existing "Policy Binder" in the Form already created and have them scan the shop QR code on their first day.

  • Site-Specific Orientations: Post an External QR Code on the side of the site trailer so every sub-contractor can sign the site rules before starting work.

  • Zero-Friction Access: Using QR codes removes the need for workers to search through folders. They scan, they sign, they get back to work.
