How do I archive an asset in Corfix?

This article will summarize how to archive (retire) an asset so it no longer appears on new forms, while keeping its history.

Important: Retired is the only asset State that hides an asset. Any other State keeps the asset visible on forms.

Overview

When a piece of equipment, vehicle, or tool is no longer in use, you can archive it by changing its State to Retired. Think of it like moving a file into an archive drawer: it's out of the way for day-to-day work, but nothing is lost.

Once an asset is Retired:

  • It is hidden across the Corfix app: it won't appear on new forms or in the Asset dropdown field on any template, so your team can't select it by mistake.
  • On the Admin (web), it still appears in the asset selection pop-up, with a Retired pill beside it, so admins can always see it's archived.
  • You can still find it any time by filtering your asset list for Retired.

How to archive an asset

  1. Go to Assets in Corfix.
  2. Find and open the asset you want to archive.
  3. Change the State to Retired.
  4. Click Save.

The asset will no longer appear anywhere on the Corfix app, including new forms and the Asset dropdown field on templates. On the Admin (web), it will show in the asset selection pop-up with a Retired pill.

How to find a Retired asset

Retired assets aren't deleted. To see them:

  1. Go to Assets.
  2. Open the State filter.
  3. Select Retired.

Your Retired assets will appear in the list. To bring one back into use, open it, change the State to an active State, and click Save.

Use cases and benefits

  • Sold or scrapped equipment: Retire it so crews stop selecting it on inspections.
  • Seasonal equipment: Retire it for the off-season and switch it back when it returns.
  • Cleaner forms: Shorter asset lists make forms faster to fill out in the field.
  • Clear admin view: Admins still see the asset in the asset selection pop-up, marked Retired, so nothing is lost.
