How does lunch get taken off workers time cards?

This article will show you how to set up lunch to be taken off automatically from your workers time cards.

 

It is important to note that lunch settings are company-wide and cannot be adjusted for individual employees. The system calculates deductions based on individual timecards, not the cumulative hours worked in a day.

  • Example Configuration:

    • Hours Until Lunch Removal: 4

    • Lunch Duration: 30 Minutes

  • The Result: A 30-minute deduction only occurs if a single, continuous timecard reaches 4 hours. If a worker submits two separate 3-hour timecards (6 hours total), no lunch will be deducted because neither individual card hit the 4-hour threshold.


Recommended Configurations

If your workforce frequently switches between projects or tasks throughout the day, use the following settings to ensure accurate time tracking:

Option A: For Punch Clock Users

Best for real-time tracking where workers "punch in" and "out."

Setting Recommended Value Description
Hours Until Lunch Removal 0 Disables automatic triggers based on duration.
Lunch Hours 30 Sets the standard default duration.
Opt-out of Lunch Enabled Allows workers to manually indicate if they worked through lunch.
Flag if no lunch is taken Disabled Prevents unnecessary system alerts for short project segments.

Option B: For Timecard Users

Best for workers who enter their hours at the end of a shift or project.

  • Lunch Removal: Manual

  • User Experience: This adds a dropdown menu to every timecard, allowing the worker to select their lunch duration (0, 15, 30, 45, or 60 minutes) on a per-entry basis.


Note: Using the Manual setting for timecard users is the most accurate way to handle project-switching, as it places the responsibility on the worker to apply their lunch break to the specific project of their choosing.

 

Follow these steps to have lunch taken off workers time cards:

Step 1: Click on "Timekeeping" from the left side menu and then click "Settings" in the top right

Step 2: Click on "Lunch" at the top of the page and then you will be presented with the settings configurations. You have the following options:

1. Off - this means that lunch will not be removed at all

2. Manual - this means that any lunch time that is added would have to be done manually for each time card

3. Auto - this means that after a specified period of time lunch will automatically be added to the time card

Step 3: If "Auto" is selected, you will get the option to input a time for: 

- Hours Until Lunch Removal - This is the amount of hours that need to be worked in order for the system to automatically add lunch to the time card (e.g. 4 hours)

- Lunch Hours - This is the amount of minutes for lunch that is added to the time card when the threshold is met (e.g. 30 minutes, 60 minutes).

FOR PUNCH CLOCK USERS:

You have the option to toggle "Opt-out of Lunch". This allows workers to override the automatic lunch deduction if they did not take a break. You can also flag this so that you are notified when a worker does not take lunch.
