[Forms](https://knowledge.corfix.com/articles/corfix-admins?hsLang=en#forms) October 5, 2026 # How Scheduled Forms Work ## This article will summarize how to set up Scheduled Forms in Corfix so the right workers get the right form on time, with automatic reminders. ### Overview **Scheduled Forms** let admins set due dates, assign workers and send automatic reminders. Your team gets the right form at the right time, which helps you stay compliant without chasing people. ### How to Create a Scheduled Form 1. Go to **Scheduled Forms** and click **Add New Scheduled Form**. 2. **Template\*** (required): click **Select Template** and pick the form to schedule. 3. **Due At\*** (required): choose the date and time the form is due. 4. **Hours Notified Before** (optional): enter how many hours before the due time workers should get a reminder. 5. **Workers** (optional): click **Select Worker** to assign specific people. 6. **Roles** (optional): pick one or more roles to assign the form to everyone in that role. 7. **Project** (optional): click **Select Project** to link the form to a project. 8. **Recurrence** (optional): choose **None**, **Daily** (pick weekdays), **Weekly**, or **Monthly** (by calendar date, or by a set week and day, such as the first Monday). 9. **Grace Period (Days)** and **Automatic Form State Change** (optional): control what happens if the form isn't completed on time. Click **Save**. ### How Scheduled Forms Behave - **Status:** A form shows as **Scheduled** on the day it's due and stays hidden until then. Corfix checks every 15 minutes and turns forms into **Outstanding** once they reach their due time. - **Notifications:** Admins can set reminders before the deadline and alerts after a form stays incomplete. A notification is also sent when a form becomes **Outstanding**. - **Duplicate prevention:** If a worker already completed the form during the required period, Corfix skips the next scheduled copy so nobody gets a duplicate. - **Deleting a schedule:** If you delete a scheduled form or its template, no new copies are created. Forms that were already completed, outstanding, or saved as drafts are kept. ### Use Cases and Benefits - **Daily vehicle inspections:** Recur daily so every driver gets a form each morning. - **Weekly toolbox talks by role:** Assign to the **Foreman** role so new foremen are covered automatically. -
