How to add Archived Template Type to Forms
This article will summarize how to archive outdated form templates to keep your workspace organized and prevent accidental use.
Overview & Explanation
Over time, your list of forms can become cluttered with old versions or seasonal templates that you don't need right now. To help you stay focused, you can now move these to an Archived status. Think of this like moving old paperwork into a filing cabinet: it’s still there if you need to look at it, but it stays off your main desk so you can find your Active forms faster.
How It Works
-
Locate your Template list: Navigate to your forms dashboard where you usually manage your templates.
-
Change the Status: Select the template you wish to hide and change its type from Active to Archived.
-
Note: All your current templates have been automatically renamed to Active to distinguish them from archived ones.
-
-
Automatic Hiding: Once a template is marked as Archived, it will immediately disappear from your standard list. This also ensures no one can accidentally start a new form using that old template.
-
Viewing Archived Items: If you ever need to see an old template again, simply click the Filter button on your list and select the Archived view to bring them back into sight.
Use Cases and Benefits
-
Cleaning Up Clutter: Hide seasonal forms (like holiday feedback) during the rest of the year to keep your daily view clean.
-
Version Control: Archive "Version 1" of a form when "Version 2" is released, ensuring your team only uses the most up-to-date document.
-
Better Organization: Reduces the time spent scrolling through long lists to find the specific form you need right now.
-
Prevention of Errors: Stops staff from accidentally filling out retired or obsolete forms.
Behavior Changes: What’s New?
Previously, all templates lived in one long list regardless of whether they were still in use. Now, you have two distinct categories:
-
Old Way: Everything was labeled as a "Form" and visible at all times.
-
New Way: Current forms are labeled Active. You can now move unused forms to Archived to hide them, using the new Filter tool to find them later if necessary.
