How do I merge duplicate certification types?

This article will summarize how to combine similar certification names into a single category to keep your records organized.

⚠️ WARNING: This action cannot be undone. When you merge two certification types, the system permanently deletes the old name and moves all records to the new name. Please ensure you are merging the correct items before proceeding.

Overview & Explanation

Over time, your list of certification types might become cluttered with duplicates that are spelled or capitalized differently (for example, "WHMIS" vs "whmis"). Because our system treats these as unique categories, your data can become split between two different names.

The Merge Certification Types feature allows you to clean up your database by combining these duplicates into one official name, ensuring all employee records are filed in the same place.

How It Works (Step-by-Step)

  1. Open the Resources menu from the left-hand sidebar.

  2. Select Certifications, then click on Certification Types.

  3. Find the duplicate certification you want to change and click the Choose Action button next to it.

  4. Select Edit.

  5. In the name field, type the exact name of the certification type you want to merge it into (e.g., if you want to move everything into "WHMIS", change the name to "WHMIS").

  6. Click Save.

  7. A pop-up window titled Merge Certification Types will appear

  8. Review the details. If they are correct, click Confirm Merge. If you change your mind, click Cancel to keep the names separate.

Use Cases and Benefits

  • Standardizing Records: Ensure that all employees with a "WHMIS" certificate appear under one heading rather than three different variations.

  • Fixing Typos: Easily correct a misspelled certification name without losing the documents already uploaded to it.

  • Cleaner Reporting: Run more accurate reports by eliminating "ghost" categories that only contain one or two entries.

  • Improved Search: Make it easier for managers to find specific certifications by maintaining a clean, organized list.
