Why can’t I find a specific worker in my list?
This article will summarize how to ensure workers are visible and selectable for forms and timecards by managing their account status.
Overview & Explanation
If you are trying to add a worker to a form or a timecard but their name isn't appearing, it is usually because their account is not in an Active state. To keep your records accurate, the system only shows workers who are fully ready to work.
If a worker is currently "Pending" or "Blocked," they stay hidden to prevent errors in your reporting. By moving a worker to an Active or Active for Kiosk status, you make them available to be selected for sign-offs and time tracking.
How It Works (Step-by-Step)
1. If a worker is "Pending Account Activation"
This is the simplest fix. If a worker is in this state, an Admin just needs to manually activate them to make them visible.
Warning: When a worker is activated, if they have an email address in their profile, the system will automatically send them a login invitation. If you only want them to appear in the list for supervisor sign-offs (and not log in themselves), you must remove their email first. See Step 2 for instructions on removing an email.
-
Navigate to Resources > Workers.
-
Find the worker in the list.
-
Click Choose Action.
-
Click Activate.
2. If a worker is "Pending Email Verification"
If a worker has an email attached but hasn't verified it yet, they won't show up. You can bypass this to get them on your lists immediately by switching them to a "Kiosk" worker:
-
Navigate to Resources > Workers and find the worker.
-
Click Choose Action and select Deactivate.
-
Select the worker’s name from the list and click the Pencil icon to Edit.
-
Remove the email address from their profile. (You can paste it into the "Notes" section if you want to save it for the future).
-
Click Save.
-
Go back to the list and Activate the worker. They will now show as Active for Kiosk.
3. If a worker is "Blocked"
Blocked workers are hidden from all active forms and timecards.
-
Navigate to Resources > Workers.
-
Click the Status Filter (the third filter at the top of the table).
-
Uncheck everything except Blocked.
-
Find the worker in the filtered list.
-
Click Choose Action and select Reactivate.
-
Note: They will become Active (if an email is present) or Active for Kiosk (if no email is present).
-
Use Cases and Benefits
-
Immediate Field Access: Quickly fix a "missing" worker so a supervisor can add them to a safety form or timecard on-site without waiting for email verifications.
-
Flexible Site Management: Easily manage workers who do not have smartphones or are restricted from using phones on the job site by using the Active for Kiosk status.
-
Accurate Reporting: Ensure your dropdown menus only show current, active staff, reducing the risk of selecting the wrong person.
