How do I make sure everyone signs a form before the person who sent it signs?
This article will summarize how the Force Form Sender to be Final Signer setting works, what happens when you turn it on, and when you should use it.
What this setting does
When you turn on Sender must be Final Signer template configuration, the person who sends a form out cannot add their own signature until every other worker attached to the form has signed first.
Think of it like the sign-off at the bottom of a sheet. The supervisor signs last, on purpose, so their signature confirms that everyone on the crew has already done their part.
On most sites the form sender is the supervisor. With this setting on, the supervisor stays accountable for making sure the whole crew signs before they close the form out with their own signature.
How it works
- A supervisor (the form sender) fills out a form and sends it to the workers who need to sign it.
- Each attached worker opens the form and adds their signature.
- Until all of those workers have signed, the Sign option stays locked for the sender.
- Once the last worker signs, the sender can add their signature and complete the form.
If even one attached worker has not signed yet, the sender will not be able to sign. This is expected behavior, not an error.
Use cases and benefits
- Toolbox talks and safety meetings: the supervisor confirms attendance by signing last, after every crew member has signed in.
- Daily sign-offs and inspections: the sender's signature acts as a final check that the crew completed and signed the form.
- Accountability on site: it puts the responsibility on the supervisor to chase down any missing signatures before the form is finished.
- Cleaner records: a completed form means everyone signed, so there is no guessing later about who was still outstanding.
Good to know
- This setting is configured at the template level by an administrator.
