PDF Timekeeping Exports
This article will summarize the different types of PDF timekeeping exports available and how to choose the right one for your needs.
Restriction: PDF exports are only available for date ranges of 15 days or less. For periods of 16 days or longer, use the CSV exports.
Overview & Explanation
While spreadsheets are great for data entry, sometimes you need a clean, professional document for printing or quick review. Our PDF exports transform your digital timecards into easy-to-read summaries. Unlike standard downloads that appear in your browser, these reports are delivered directly to your email inbox once they are generated.
How It Works
To get your data, you will select one of three specific report types based on what information you need to see:
-
Worker Totals PDF: This is your "big picture" employee report. It lists each worker by name and shows a daily breakdown of their Regular, Overtime, and Double Time hours.
-
Project Totals PDF: Use this to see where your labor hours are going. Instead of focusing on people, it groups hours by Project Name (like "Drive Time" or specific job sites), showing you the total company time spent on each task per day.
-
By Worker PDF: This is the most detailed "deep dive" report. It provides a full history of every single time entry, including exact Start and End Times (e.g., 8:00 AM to 12:00 PM) and any specific work codes used.
Customizing Your Export
Before you click send, you can adjust these settings to fit your preference:
-
Include Project Subtotals: Turn this On if you want the "By Worker" report to calculate total hours for each project an employee worked on.
-
Include Notes: Toggle this to decide if you want to see the written comments employees left on their timecards.
-
Time Format: Choose Default to see the full date and time, or New Time Format for a simplified view of just the time values.

Budget Tracking: Run a Project Totals report to see exactly how many man-hours are being spent on a specific job site to stay under budget.
-
Dispute Resolution: If there is a question about a specific shift, the By Worker report provides a clear audit trail of exactly when an employee clocked in and out.
